Travel agency software and back office

Travel agency software: bookings, CRM and back office in one place

Travel agency software is the back office that sits behind your website and your sales desk: bookings, quotations, customer records, invoices, supplier payments and the reports that tell you whether you made money. We build it in modules for travel agencies, tour operators and consolidators in India, the US, Canada and the UK, connected to the portals and supplier APIs you already use.

What travel agency software covers

Most agencies run on a booking website, spreadsheets, a shared inbox and an accounting package that does not know what a PNR is. Travel agency software replaces that patchwork with one system of record. A booking made on your portal, by an agent on the phone or by a sub-agent in your network lands in the same place, with customer, supplier, cost, sale price and documents attached.

In practice that means six things working together:

  • Bookings: every flight, hotel, bus, transfer, insurance and package booking, whether it came from an API or was keyed in manually, with status, documents and amendments
  • Quotations: build a quote for a trip or a group, send it, track whether it was opened, convert it to a booking in one step
  • CRM: customer and corporate accounts, enquiry pipeline, follow-up reminders, passport and preference records, communication history
  • Invoicing: invoices, credit notes and receipts generated from the booking, in the tax format your country needs
  • Supplier settlement: what you owe each airline, consolidator, hotel or DMC, when it is due, and what has been paid
  • Reporting: sales, margin, outstanding receivables, supplier payables and productivity by branch, agent or product

You do not have to take all six on day one. Many agencies begin with bookings, quotations and CRM and add the finance modules later. The full finance layer is described on the travel ERP and back office software page.

For agencies, tour operators and consolidators

The same platform is configured differently depending on what you sell and to whom.

Retail and corporate travel agencies

A retail agency needs a fast booking desk, a clean CRM and invoicing that matches what the customer paid. Corporate desks add approval workflows, cost-centre tagging and monthly statements per client company. Both want margin per booking without waiting for the accountant.

Tour operators and package sellers

Operators live in quotations: multi-day itineraries, hotel and transfer combinations, group departures and per-person pricing. The software needs contracted rates, day-by-day itinerary building, voucher generation and a way to track operations on the ground. Inbound operators and destination management companies have a dedicated setup described on the DMC software page.

Consolidators and B2B wholesalers

Consolidators sell to other agents. Their back office is mostly about agent accounts, credit and wallet balances, supplier settlement at volume and BSP reconciliation for air. It must be tightly coupled to the B2B travel portal where agents actually book.

Connecting to your booking portal and agent network

Back office software is only useful if the bookings arrive in it without re-keying. We connect the software to whatever sells on your behalf:

  • Your B2C website or white label travel portal, so online bookings, payments and customer details sync as they happen
  • Your B2B travel portal, so every sub-agent booking carries the agent, the markup tier and the wallet or credit movement
  • Supplier APIs for flights, hotels and buses, so supplier cost, PNR and ticket numbers are captured at the source (see travel API integration)
  • Payment gateways and bank feeds, so receipts and settlements are matched rather than typed

If you are building the portal and the back office at the same time, we design both around one data model so there is no integration layer to maintain later.

Automation where it saves real time

A good chunk of agency admin is repetitive: drafting a first itinerary, answering "where is my voucher", preparing the weekly sales report, chasing an unpaid invoice. We add assistants for these tasks on the same data, with a rule that nothing touching money or a live booking goes out without a person approving it. The scope and the safeguards are explained on the AI automation for travel agencies page.

Implementation process

  1. Discovery and scope

We map how bookings, quotes and money move through your agency today, which tools you use and what breaks. You receive a module list, a written scope and a fixed quote.

  2. Configuration

Branches, users and roles, products, tax settings, invoice formats, markup rules and supplier lists are set up to match how you work.

  3. Integration

Portal, supplier API, payment gateway and accounting connections are built and tested against real bookings in a staging environment.

  4. Migration and training

Historical customers, bookings and balances are imported. Each team is trained on its own screens, with written guides for later hires.

  5. Go-live and support

Parallel run for an agreed period, then cut-over. Support continues under a monthly plan with fixes, updates and small changes.

Data migration and training

Most new clients arrive with data in spreadsheets, a legacy desktop tool, or both. We import customers, suppliers, open bookings and opening balances through a mapped template, validate totals against your existing reports, and keep the old system read-only until you are confident. Training is per role, because an accounts clerk and a sales agent need different screens. Written guides and short recorded walkthroughs stay with you for new staff.

Pricing approach

We quote a fixed implementation price based on the modules you choose, the number of branches and the integrations needed, plus an optional monthly plan for hosting, support and updates. There is no per-booking fee. You own your data and can export it at any time. [TO CONFIRM: whether to publish starting prices or licence model]

Frequently asked questions

What is travel agency software?

Travel agency software is a back-office system that records bookings, quotations, customers, invoices, supplier payments and reports in one place. It replaces spreadsheets and disconnected tools, and connects to your booking website, B2B agent portal and supplier APIs so that bookings arrive automatically instead of being re-keyed.

Do I need travel agency software if I already have a booking portal?

A portal handles search, booking and payment for the customer or agent. It usually does not handle quotations for offline trips, tax invoices, supplier ledgers, receivables or management reports. If your team is exporting portal data to spreadsheets to do accounts and reporting, back-office software is the next step.

Can it handle offline bookings made by phone or email?

Yes. Offline bookings are entered on the same booking desk with the same fields as API bookings: supplier, cost, sale price, passengers, documents and status. They appear in the same invoices, supplier ledgers and reports, so your figures are complete regardless of how a booking was made.

Does it work for a travel agency with several branches?

Yes. Branches are set up with their own users, invoice sequences, bank accounts and reporting, while head office sees consolidated figures. Users only see the branches and modules their role allows. Multi-currency handling is covered under the travel ERP module.

How long does implementation take?

It depends on the modules, the number of integrations and how clean your existing data is. A bookings, quotations and CRM setup with one portal integration is much quicker than a full ERP with BSP reconciliation and migration from a legacy system. We give a written timeline with the scope.
