Hotel API integration services

Hotel API integration with real-time rates and instant confirmation

Hotel API integration connects your booking website, agent portal or app to bed banks, wholesalers and hotel chains so visitors see live availability and rates and receive a confirmed voucher the moment they pay. We handle the part most teams underestimate: mapping hotels and rooms across suppliers, de-duplicating content and caching sensibly. For agencies, OTAs, DMCs and consolidators in India and abroad.

What hotel API integration covers

A hotel API is the interface a supplier publishes so your system can query which rooms are available on given dates, at what price and under which conditions, and then book them. Hotel API integration is the work of wiring one or more of those interfaces into your platform. It sits alongside flights and ground services in our travel API integration offering, and it has its own peculiar difficulties, covered below.

  • Availability and rates: search by city, region, coordinates or hotel code, for date ranges, multiple rooms and mixed adult and child occupancy, with per-night and total pricing.
  • Room types and board basis: room categories, bed configurations, meal plans and rate plan names presented consistently regardless of supplier.
  • Policies: cancellation deadlines and penalties, non-refundable flags, check-in rules and supplier remarks, shown before the guest commits.
  • Pre-booking checks: the re-validation call that confirms a rate is still bookable at the displayed price before payment is taken.
  • Booking and confirmation: guest details, special requests, supplier booking reference and hotel confirmation number, with instant or on-request status handled correctly.
  • Cancellation, amendment and vouchers: cancellation with penalty calculation, date or guest changes where supported, and voucher generation with your branding and the supplier's emergency contact.

Hotel API supplier types

Hotel inventory comes from three main directions. Names are given to describe integration experience only; you will need your own commercial agreement with each supplier.

Hotel API supplier types
Supplier typeExamplesStrengthsIntegration notes
Bed banks and wholesalersHotelbeds, RateHawk, TBO HotelsBroad global inventory, net rates, one contract for thousands of properties, Indian-market consolidators offer deposit wallets.Large static content feeds to import, strict pre-booking and rate-key flows, per-supplier hotel codes that need mapping.
Direct hotel chainsChain central reservation systemsContracted or negotiated rates, loyalty content, accurate room descriptions straight from the brand. Each chain has its own API and certification; worthwhile when you have volume with that brand.
Channel and connectivity partnersChannel managers and switch providersAccess to independent properties and small chains that do not run their own API.Content quality varies property by property; mapping and photo de-duplication take real effort.

The hard parts of hotel API integration

Flight data is standardised around airport and airline codes. Hotel data is not: the same property appears with different names, addresses and codes in each supplier feed, and rooms are described in free text. This is where hotel projects succeed or fail.

Hotel and room mapping

We match properties across suppliers using coordinates, address normalisation, chain codes and name similarity, then review the uncertain matches manually. Room types are mapped to a common set so "Deluxe King" from two suppliers is compared as the same room.

Content de-duplication

One property, one page. Descriptions, facilities and photos are merged with a rule for which supplier wins on each field, so your site does not show three listings for one hotel with three different star ratings.

Rate parity and display rules

When several suppliers return the same room, the platform decides what to show: lowest net, best margin after markup, or a preferred supplier. Rules are configurable per market and per agent tier in B2B setups.

Static content versus live rates

Descriptions, facilities, photos and geodata change rarely and are imported and cached on a schedule. Availability and rates change constantly and are always fetched live or cached for seconds, never hours.

What we deliver

  • Supplier connection for search, pre-booking, booking, cancellation and voucher retrieval, with full logging
  • Static content import pipeline with scheduled refresh and change detection
  • Mapping tables for hotels, rooms, board types and facilities, plus a review screen for unmatched records
  • Markup, commission and agent-tier pricing rules where your platform supports them
  • On-request booking handling with status polling and customer notifications
  • Monitoring for response times, error rates, failed bookings and supplier outages, with alerts

Where hotel API integration plugs in

The connection can sit behind a white label hotel booking website for a quick launch on an existing flow, or inside a custom hotel booking engine when you need your own search logic, packaging or agent pricing. DMCs combine supplier APIs with contracted rates inside DMC software, and consolidators expose the same inventory to sub-agents through a B2B travel portal. We build the supplier layer once and reuse it.

Process

  1. Scope and content review

We review the supplier documentation and the static content feed, confirm the destinations and booking functions you need, and issue a fixed quote.

  2. Content import and mapping

Hotel, room and facility data is imported, normalised and mapped. Where you use more than one supplier, cross-supplier matching is run and reviewed.

  3. Live rate integration

Search, pre-booking, booking and cancellation are built against the sandbox, with caching rules agreed per supplier.

  4. Test bookings and certification

We run the supplier test plan, including on-request bookings, multi-room occupancy and cancellations with penalties, and complete any certification the supplier requires.

  5. Go-live and monitoring

Production credentials are switched in, first bookings are verified against the supplier extranet, and monitoring and alerts are enabled.

Timeline, requirements and pricing

A single bed bank into an existing platform typically takes a few weeks; multi-supplier projects take longer because mapping and review scale with the number of properties. [TO CONFIRM: delivery windows you want to publish]

You will need a signed supplier agreement, sandbox credentials and documentation, access to the static content feed, and a payment gateway if guests pay on your site. We quote a fixed price per supplier and scope, with monitoring and supplier upgrades available as a monthly plan. [TO CONFIRM: whether to publish starting prices]

Frequently asked questions

What is a hotel API?

A hotel API is an interface from a bed bank, wholesaler, hotel chain or connectivity partner that lets your software check room availability and rates for specific dates, read cancellation policies, make a booking and retrieve the confirmation. It replaces emailing or phoning the supplier and lets your website show live prices and confirm instantly.

Why is hotel mapping necessary?

Each supplier uses its own hotel codes, names and room descriptions. Without mapping, your site would list the same property several times with conflicting details and could not compare prices for the same room. Mapping matches properties and rooms across suppliers so each hotel appears once with the best available rate.

Can I combine several hotel suppliers in one search?

Yes. We query suppliers in parallel, map the results to a single hotel and room model, and apply your display rules to decide which rate is shown when more than one supplier returns the same room. Slow suppliers do not block the others, and each has its own time-out.

Are hotel bookings confirmed instantly?

Most bed bank rates confirm instantly and return a hotel confirmation number at booking time. Some rates are on request, meaning the supplier confirms within a window. We handle both: on-request bookings are tracked, the guest is told clearly, and notifications go out when the status changes.

Do I need my own contract with Hotelbeds, RateHawk or TBO?

Yes. Access to any hotel supplier API requires your own agreement, credentials and usually a deposit or credit arrangement with that supplier. We are a technology vendor and do not resell inventory. Supplier names on this page describe our integration experience and do not imply partnership.
