Tour operator software
Tour operator software for fixed departures and group tours
Running tours is an inventory business: a departure has so many seats and so many rooms, and profit depends on filling them without overselling. Our tour operator software manages departures, seat and room allocation, vendor bookings, tour costing and the manifests your ground teams run on, so the spreadsheet juggling stops before it costs you a departure.

What tour operator software does
Tour operator software runs the lifecycle of a packaged tour: define the itinerary and departure dates, load costs from hotels, transport and activity vendors, set selling prices per category, take bookings against limited seats and rooms, collect payments in instalments, and generate the operational documents each departure needs. It replaces the usual patchwork of a booking spreadsheet per departure, a costing spreadsheet per tour, and a WhatsApp thread per vendor.
It matters most for operators selling fixed departures, which are scheduled group tours where inventory is finite. Series like these are common among India-based operators running domestic circuits and outbound groups, where one oversold seat or one missed rooming list becomes a very public problem on day one of the tour.
Tour operator software vs DMC software
The two get confused because both involve tours. The short version: tour operator software faces the travellers you sell to; DMC software faces the agents and operators a destination company serves.
| Tour operator software | DMC software | |
|---|---|---|
| Direction | Outbound and domestic: you package tours and sell them to travellers or agents | Inbound: you receive groups and FITs sent by foreign operators and agents |
| Inventory | Your own departures with seat and room limits | Supplier contracts, tariffs and allocations in your destination |
| Buyer | Travellers, and sub-agents selling your departures | Overseas operators, agents and DMC partners |
| Core documents | Booking confirmations, manifests, rooming lists | Quotations against contracts, operations files, vouchers |
Some businesses do both; the modules can run together. If your revenue comes from foreign agents sending you groups, start from the DMC software page instead.
Core modules
Departure management
Create a tour once, then publish a series of departures with their own dates, capacity, pricing and status: open, filling, guaranteed or closed.
Seat and room allocation
Live counts of seats sold and rooms consumed by type, twin-sharing and single-supplement logic, waitlists, and hard stops that prevent overselling.
Vendor management
Hotels, transport, guides and activity suppliers per departure, with booking status, negotiated costs, payment due dates and outstanding payables.
Tour costing
Fixed costs spread across expected passengers, variable per-person costs, break-even passenger count, and margin per departure as bookings come in.
Manifests and rooming lists
Passenger manifests, rooming lists, flight lists and dietary or special-request sheets generated from booking data, not retyped the night before.
Payments and instalments
Booking amounts, instalment schedules, receipts and pending-balance chasing, per passenger and per booking.
Group tours beyond the fixed series
Custom groups, such as corporate offsites, school trips, pilgrimages and family reunions, behave differently: one-off itineraries, negotiated costs and a single decision-maker. The same costing engine handles them, and the itinerary builder produces the day-by-day proposal and branded documents while the group is still being won. Once confirmed, the group becomes a departure like any other, with allocation, vendors and manifests attached.
The life of a departure, end to end
It helps to see the software as following one departure through its whole life. Planning: the itinerary is set, vendors are pencilled in and the costing sheet establishes the break-even passenger count. Selling: bookings arrive from counter, agents and web, seats and rooms draw down, and instalments are collected against each booking. Guarantee point: when numbers justify it, the departure is marked guaranteed, vendor bookings are firmed and advance payments go out on schedule. Pre-departure: manifests, rooming lists, flight lists and special-request sheets are generated and sent to the tour manager and vendors. On tour: last-minute changes are recorded against the departure rather than in someone's chat history. Close-out: actual costs are entered against budgeted costs and the departure shows its real profit. Most operators run the first four stages in separate spreadsheets today; the value is having one record that carries the departure from first plan to final number.
Reporting and reconciliation
Because every booking, vendor cost and payment hangs off a departure, reporting stops being an end-of-season archaeology project. You get a profit-and-loss view per departure and per series, vendor payables with due dates, receivables and pending instalments per passenger, agent-wise sales and commission statements, and occupancy across the calendar so weak departures are visible while there is still time to promote or merge them. Finance exports feed your accountant or a full travel ERP if you run one.
Selling your departures
Bookings can come from your counter staff, from sub-agents, or from your own website. If agents sell your tours, a B2B travel portal gives them live availability and net rates instead of phone calls to your operations desk. If travellers book direct, we connect the departure inventory to your site as an online tour booking flow, built as part of travel portal development. Either way, every sale draws down the same seat count, which is the point.

Frequently asked questions
What is the difference between tour operator software and travel agency software?
Travel agency software is built around individual bookings: flights, hotels and packages sold one enquiry at a time. Tour operator software is built around departures with finite seats and rooms, shared costs and group documents. Operators who also retail travel often run both; see travel agency software.
Can it stop my team overselling a departure?
Yes. Every booking draws down seat and room inventory for its departure in real time, across counter staff, agents and online sales. When a category is full the system blocks the sale or offers the waitlist, instead of relying on someone checking a spreadsheet.
Does it handle twin-sharing and single supplements?
Yes. Pricing categories cover twin, triple and single occupancy, child with and without bed, and single-supplement logic, and the rooming list is built from those choices rather than reconstructed manually before departure.
Is it suitable for tour operators in India?
Yes. India is our primary market and the fixed-departure model is common here for domestic circuits and outbound groups. The software handles INR pricing, GST-ready invoicing data and instalment collection patterns Indian operators use. We also serve operators in the US, UK and Canada. [TO CONFIRM: GST invoicing scope]
Can sub-agents sell my departures?
Yes. Agents can be given logins with net rates and live availability through a B2B portal, and their bookings consume the same inventory as your own staff, with commission tracked per agent.
