Hajj and Umrah booking software

Hajj and Umrah booking software for authorised operators

Purpose-built software for licensed Hajj group organisers and Umrah operators: package building with Makkah and Madinah hotels, flights and ground transport, visa workflow tracking, group and rooming management, and B2B sub-portals for the agents who sell your packages. We build the technology; the licences, quotas and pilgrim relationships remain yours.

What is Hajj and Umrah booking software?

General travel software sells a flight or a room to one traveller. Hajj and Umrah operators sell something harder: a multi-city package for a family or a group of two hundred, with hotels in Makkah and Madinah, flights, inter-city transport, ziyarah visits, and a visa process that has to be tracked per pilgrim. An Umrah booking system is built around that reality, from the package builder to the rooming list to the document checklist on every booking.

We build this software for operators in India and for Umrah B2B consolidators serving agent networks, as owned platforms rather than rented seats: your branding, your suppliers, your data.

A regulated environment, stated plainly

Pilgrimage travel is one of the most regulated corners of the industry, and honest software has to be built with that in mind. Hajj and Umrah services in Saudi Arabia operate under the Ministry of Hajj and Umrah, with official channels such as the Nusuk platform and services delivered through licensed providers. In India, Hajj is administered through the Ministry of Minority Affairs, the Haj Committee of India and registered Haj Group Organisers (HGOs), with quotas set under a bilateral agreement between the two governments. The precise rules, categories and portals change from season to season, so verify the current requirements for your licence class before each cycle. [TO CONFIRM: current-season registration requirements applicable to your licence category]

Two things follow. First, we build booking and management technology for operators who already hold the required licences and registrations; software from us or anyone else does not make an unauthorised seller legitimate, and we decline that work. Second, your platform must never present itself as a government or ministry portal: your legal identity, licence details and contact information sit on every page, consistent with the same honesty rules we apply to flight campaign websites.

Package building for Makkah and Madinah

Haram-distance hotel tiers

Hotels categorised by walking distance or shuttle distance from the Haram in Makkah and from the Prophet's Mosque in Madinah, because that distance, not the star rating, is what pilgrims ask about first.

Multi-city itineraries

Makkah and Madinah night splits in either order, with transport between them and optional ziyarah day tours attached to the package.

Flights and ground transport

Group fare blocks or live fares through your flight suppliers, plus buses and private transfers per group size, all inside one package price.

Visa workflow tracking

A per-pilgrim checklist for passports, photographs, vaccination records and visa status, moving through the stages your process uses, with expiry alerts. The software tracks the workflow; visa issuance itself happens through the authorised channels.

Seasonal inventory

Allocations for Ramadan and other peak periods managed with release dates and stop-sales, using the same discipline as a hotel extranet system for your contracted properties.

Deposits and instalments

Booking with a deposit, scheduled instalments and balance-due reminders, in INR and other currencies, matching how pilgrimage packages are actually paid for.

Group management, not just bookings

The unit of work in this business is the group. The software treats it that way:

  • Group builder: create a departure, attach its flight block, hotel allocations and transport, and fill it booking by booking
  • Rooming lists: doubles, triples, quads and family rooms assigned with mahram and family groupings kept together, exportable for each hotel
  • Document dashboards: one screen showing which pilgrims in a departure are missing passports, photos or payments
  • Manifests and reports: flight manifests, bus lists and hotel arrival lists generated from live data instead of retyped spreadsheets
  • Communication: WhatsApp and SMS updates to pilgrims and group leaders on payments, documents and departure details

During the season itself the system keeps working: group leaders get a restricted login showing only their own departure, with rooming lists, bus assignments and pilgrim contact details on their phone; your operations desk sees payment collection and document completion across all departures on one dashboard; and last-minute changes, a swapped hotel or a retimed flight, update the manifests and notify the affected pilgrims without anyone rebuilding a spreadsheet at midnight.

Agent sub-portals for Umrah B2B

Most Umrah volume in India moves through networks of sub-agents in different cities. An Umrah B2B portal gives each agent a login with your packages at net rates, their own markup within limits you set, deposit and credit tracking per agent, and branded quotes and vouchers for their customers. You see every booking centrally; agents stop booking over phone calls and WhatsApp messages that someone has to re-enter. The same platform can run a public B2C site for direct pilgrims alongside the agent channel.

How we build it

  1. Discovery

We map your licence category, seasons, suppliers, agent network and current process, and confirm the compliance boundaries that apply to you. Written scope and fixed quote follow.

  2. Design

Package builder, group screens, agent portal and pilgrim-facing pages designed around your workflow, reviewed with your operations team.

  3. Build and integrate

Platform build with your flight and hotel suppliers connected, payment gateway, and WhatsApp or SMS messaging.

  4. Season pilot and launch

One departure or one season runs on the system first with our support, then full roll-out to all groups and agents.

The platform is usually delivered as part of a wider travel portal development project, and operators who also run non-pilgrimage inbound or outbound work can pair it with DMC software modules. We quote a fixed price scoped by suppliers, channels and group volume, with optional monthly support plans. [TO CONFIRM: typical delivery window to publish]

Frequently asked questions

Do you provide Hajj or Umrah visas or quotas with the software?

No. We are a technology company. Visas, quotas and the right to operate pilgrimage services come only through the official channels: Saudi systems under the Ministry of Hajj and Umrah, and in India the Ministry of Minority Affairs, the Haj Committee of India and registered Haj Group Organisers. Our software helps authorised operators run those processes; it does not substitute for authorisation.

Can the system handle both Umrah packages and Hajj groups?

Yes. Umrah runs year-round with flexible dates and per-family bookings; Hajj is a fixed season with allotted groups and heavier documentation. The platform models both: dated departures with allocations for Hajj, and configurable packages with live or blocked inventory for Umrah, under one admin and one agent network.

How does the agent sub-portal handle markups and credit?

Each agent sees net or commissionable rates as you choose, adds markup within limits you set, and books against a deposit balance or credit limit you control. Statements, vouchers and quotes carry the agent's branding while every booking and payment is visible to you centrally.

Can pilgrims book online directly, or only through agents?

Both, and you decide the mix. The same package inventory can power a public B2C site with deposit-based online booking and a B2B portal for sub-agents, with separate pricing rules per channel so direct and agent sales do not undercut each other.

Does the software connect to live flight and hotel suppliers?

Yes, through your own supplier agreements: consolidator or GDS flight APIs, hotel APIs, and your directly contracted Makkah and Madinah properties managed through an extranet. Group fare blocks and manually contracted rates are supported alongside live content, because pilgrimage inventory is often negotiated offline.
