Custom travel CRM development
Custom travel CRM development for agencies that have outgrown generic tools
Off-the-shelf CRMs know nothing about PNRs, departure dates or WhatsApp-first selling, and travel SaaS CRMs make you work their way. We build custom travel CRMs around how your agency actually sells: leads captured straight from campaigns and WhatsApp, enquiry pipelines your team will really use, automated follow-ups, and a clean handoff from won enquiry to booking and back office.

Why custom, when travel CRM software already exists?
There is no shortage of travel CRM software on subscription. For many agencies it is the right answer, and we say so when it is. Custom development earns its cost in specific situations: your sales process does not match the vendor's pipeline stages and never will; your leads arrive through channels the SaaS ignores, such as WhatsApp and call-only ads; you need the CRM to talk to systems you already own, like your portal, booking engine or ERP; or per-seat pricing has become a tax on growing your sales team. A CRM your competitors can also subscribe to is a utility; one modelled on how you win business is an edge.
Custom also does not mean starting from a blank page. We reuse proven modules for pipelines, tasks and messaging, and spend the custom effort where your process is genuinely yours.
| Question | Subscribe to a travel CRM | Build a custom travel CRM |
|---|---|---|
| Sales process | You adapt to the vendor's stages and fields | The pipeline is modelled on how you already sell |
| Lead channels | Whatever connectors the vendor offers | Your channels, including WhatsApp Business API and call tracking |
| Existing systems | Integrations limited to the vendor's marketplace | Wired to your portal, booking engine and back office directly |
| Cost shape | Per seat, forever | Build cost up front, no per-seat fees on your own system |
| Ownership | Your data on their platform | Your code, your database, your exports |
Lead capture from the channels travel sales actually use
- Google Ads and landing pages: form fills and phone calls from your campaign sites arrive as leads with source, keyword and gclid attached; see flight campaign websites
- WhatsApp: enquiries via the WhatsApp Business API become CRM leads with the chat history attached, and replies go out from the CRM, not a personal phone
- Meta and social campaigns: lead forms sync automatically instead of being exported by hand
- Your website and portal: quote requests, abandoned searches and account signups flow in with the trip details the visitor already typed
- Calls and walk-ins: quick manual entry with duplicate detection, so counter sales are not invisible to reporting
Every lead lands with its source recorded, which is what later makes marketing spend answerable: you see which campaigns produce bookings, not just clicks.
Enquiry pipelines and follow-ups
Travel enquiries die from slow follow-up more than from price. The CRM gives each enquiry a stage, an owner and a next action. Automations handle the routine: an instant acknowledgement when a lead arrives, a reminder when a quote has had no reply for two days, a nudge before a fare or quote validity expires, and reassignment when an agent is away. Managers see the pipeline by stage, agent, source and travel date, so the Friday review is a report, not an interrogation.
Because travel is date-driven, the pipeline understands departure dates: an enquiry travelling in ten days is not sorted alongside one travelling in ten months, and follow-up cadence tightens as departure approaches.
From won enquiry to booking and back office
The costliest gap in most agencies is between "client said yes" and "booking exists in the system", where details get retyped and margins get lost. In our builds, winning an enquiry creates the booking record: passenger details, itinerary, quoted price and supplier notes carry over. From there it flows into your travel agency software or travel ERP for invoicing, supplier payables and accounts. Sales sees status without asking; accounts never re-keys what sales already typed.
Built to sit inside your stack
A CRM that does not integrate becomes another inbox to ignore. Depending on your setup we connect: your B2C or B2B portal so portal users and their activity appear against CRM records; your booking engine so quotes reference live fares; telephony or call tracking so calls log against leads; email; and payment links so advance collection happens from inside the enquiry. Where your team wants drafting help, we add assistance from our AI automation for travel agencies work, such as suggested replies and enquiry summaries, with a human always sending.
What a typical build includes
- Lead capture connectors for the channels you actually use
- Pipeline, tasks, reminders and reassignment rules modelled on your process
- WhatsApp, email and SMS messaging from within the enquiry
- Quotation records or integration with an itinerary and quoting tool
- Booking handoff and back-office or ERP integration
- Reporting: conversion by source, agent performance, response times, revenue by campaign
- Roles and permissions, audit trail, and data export that stays yours
Everything above is scoped, not assumed: a two-person agency selling on WhatsApp does not need the same build as a fifty-seat call centre running campaigns across four countries, and the quote should reflect that difference honestly.
Process and timeline
Discovery
We map your sales process end to end, from ad click or WhatsApp ping to booking, and agree scope, phases and a fixed quote in writing.
Design
Pipeline model, screens and integration contracts, reviewed with the people who will live in the CRM daily, not just management.
Build and integrate
Development in phases, with lead capture connectors and the booking handoff wired to your existing systems.
Pilot and rollout
A pilot team runs live enquiries first; we adjust, then roll out with training and support.
Phased delivery means the first working slice, usually lead capture plus pipeline, arrives well before the full build. [TO CONFIRM: typical phase-one delivery window]
Pricing approach
Fixed quote per phase based on connectors, integrations and screens in scope, with an optional monthly plan for hosting, support and improvements. No per-seat fees on what we build for you. [TO CONFIRM: support plan terms to publish]
Frequently asked questions
What makes a CRM a travel CRM?
Travel-specific fields and logic: travel dates and passenger counts on the enquiry, quote versions with fare validity, follow-up cadence tied to departure dates, and a handoff into bookings, vouchers and supplier records. A generic CRM stores the same enquiry as a note and leaves the logic to your team's memory.
Can the CRM capture leads from WhatsApp?
Yes, through the WhatsApp Business API. New chats create leads with history attached, agents reply from the CRM under your business number, and templated messages handle acknowledgements and payment links. Personal-number WhatsApp cannot be integrated this way, so part of onboarding is moving sales chats to the business account.
We already run a portal and back office. Will this integrate?
That is the main reason to build custom. We integrate with the systems you have, whether we built them or not, so the CRM reads and writes bookings rather than becoming a separate island. If we built your portal or ERP, the integration is native.
How is this different from your travel agency software?
Our travel agency software includes a ready CRM module that fits most agencies out of the box. Custom CRM development is for businesses whose sales process, channels or existing systems do not fit a ready module, and who want the CRM shaped around them instead of the reverse.
Who owns the CRM and the data after the build?
You do. The code is delivered under your agreement, the database is yours, and exports are available at any time. We offer ongoing support as an option, not as a lock-in.
